Event Photographers: Who to Hire and Why

Most people have experienced event photography in some capacity.

Whether it was as simple and as long ago as high school graduation or as recent and grand as a charity ball for a close friend’s organization, there was likely someone there who captured the moment to relive the memory time and time again.

But when it comes to hiring an event photographer yourself, especially in a corporate setting, what makes a service worthy of the cause? How does one visual storyteller stand out against another, and who do you choose?

Packaging and Pricing

While window-shopping for photography services in Dallas, Plano, Irving, Las Colinas, Fort Worth and throughout the DFW area, it is important to have an understanding of the ultimate vision for your event. Do you need video services, too? They may be expensive, but video content is almost imperative for social media.

When it comes to hiring the right video team, be sure you like their style and they speak the lingo (are knowledgeable). Even if you don't - even more importantly if you don't know the difference in audio and lighting options. They may speak about the technical side that you may not understand. Ask for clarification. Your video team should know what you need and give you options. Those options should be presented with examples, the differences you'll experience in the final product.

Approximately 35% of photographers, especially at the corporate level, will provide the option to lump specific services into a package. While combining video and photography under the same umbrella is not imperative, it not only simplifies your life, but makes for a streamlined process and can take your deliverables from drab to fab! For companies planning conferences, conventions and corporate events across North Texas, having one photography and video team can also create consistency from one event to the next.

Keep pricing in mind as you search for the perfect fit, but don’t let the final cost deter you completely. High-level vents are an expensive endeavor. Though photography and video services add to that expense, it is the one gift that keeps on giving - your marketing department will experience the ROI. The deliverables produced by the photographer you hire can carry your company into the distant future for advertising, marketing, and branding. No need to abandon the budget, but be aware of these things as you look.

Location and Reputation

To ensure the timing and availability of a photography service aligns with the date of your event, it seems most practical to search for companies that are in the neighborhood. If your event is at the Irving Convention Center at Las Colinas, Plano Event Center, Kay Bailey Hutchison Convention Center Dallas or another DFW event venue, a North Texas-based corporate event photography team already familiar with the area can be an advantage. It would be more expensive to allocate services outside of the area due to the need for travel and board, as well as more risky in a sense when no local businesses have employed their content creation before.

Look into the reputation of a photography service before you hire somebody. Perhaps you attended a Visit Dallas-curated event (the best) where the content produced was excellent for that client’s business, or left the guests in awe of the professionalism. Ask the event team who they hired! When employing a photography service lesser known to you personally, look into the online reviews and make sure they’re longer than the past year. You’re looking for someone who’s been around the block and left a good impression.

"Oftentimes I attend events as an actual guest and not as a photographer," said, Photography by Misty Founder Misty Hoyt. "Aside from dressing for a Saturday afternoon at home, I rarely have criticism as to how they work the event. However, I have seen a few things that we would never do.

"For instance, once while at a cool Dallas venue at an industry celebration, I experienced a photographer having flash trouble. Had I packed my equipment, I would have lent the poor guy a flash. And, note to myself and to those of you bringing in vendors, simply ask, "Will your team bring backup equipment?""

Experience and Niche

To bring your vision to life, you must employ a service capable of everything you are requesting.

You must have a grasp on what that specific photography service brings to the table, who they have worked with in the past, and the deliverables that they are able to produce. This becomes especially important when looking for corporate event photographers in DFW who may be covering everything from executive meetings and awards ceremonies to large conventions and trade shows.

Speaking of which, it is advised to gain insight into who exactly will be working at your event when you hire a photography service.

Just because the face of the business is well known does not mean the team they are bringing or sending in their place is up to par. Be mindful that more times than not, nationwide companies have not trained their contractors. Their marketing examples may all come from the founder's camera.

You need to know if the "expert" team has worked the type of event you are requesting before, and if they can assist in ultimately providing you with an experience of excellence. A corporate photography team serving Dallas-Fort Worth should be equally comfortable photographing a small leadership meeting in Plano or Frisco and a large convention or multi-day corporate event in Dallas, Irving, Grapevine or Fort Worth.

Oftentimes, fast action, unpredictable, almost paparazzi-style stealth is needed to capture each moment.

All hands on deck are needed to memorialize the experience to its fullest. Having a team allows more than one aspect of an event to be worked on simultaneously, but do the extra hands help or hinder your goal?

How diverse is the photographer you are looking to hire? Not in a culturally sound sense, though that speaks volumes, too. It would be ideal to employ a group of people who are comfortable around anyone and can adapt to the situation, whatever it may call for. In addition, pivoting is often needed in the photography business, especially when working an event, and it is best practice to ensure those you are hiring for the job can switch things up at the drop of a hat.

The true sense of diversity for a photography service lies within the types of content or shots that will be taken, and if there is an element of storytelling within the art this service produces. The ultimate goal of event photography is to allow the viewer to feel as if they were present themselves when the images or videos were taken. Look for a photographer that not only knows how to take a good picture, but also builds a narrative with the imagery they produce. This will assist in the advertising, marketing, or branding elements your company chooses to use the material for.

Details

They say the devil lies within them, though on the contrary, details can make or break the overall experience a photography service provides. Whether this be centerpieces for the tables provided that match the theme, signage designating who sits where, swag for guests to take home after the event, or anything in between. A check-in table for attendees to notate who all is there and being photographed is a bonus for you and your photographer. You want to make sure you get what you pay for, and the little things a photography service can do or provide for you during your event make all the difference.

Capturing the details of an event also means taking b-roll images or videos that help set the scene. At a Dallas convention, a corporate meeting in Plano or a multi-day conference in Grapevine, those details also help establish a sense of place. Many times, international companies and those coming in from other states really appreciate a Texas-themes shindig. Creating the story of your event requires each part to be told, and a photographer who includes the little things is ahead of the curve. Think of it like a TV series or a good book. It would be far less interesting to only know the plot twists without seeing the things that led up to them.

A handful of fast corporate photos for social media and to feature at breakfast the next morning should always be an option. However, also plan on asking your potential photographer when to expect the remaining material. A one-(wo)man band might take a month or longer. Two weeks or less is ideal for photography, while you can expect video proofs to take 2-4 weeks, with adjustments made within a week of feedback. Always discuss this with your photographer and make sure everyone is on the same page and the timeframe aligns with your expectations/needs.

Ask about the estimated amount of content that will be produced by the end of the process. Nobody wants to scroll through endless images that cannot be used due to poor photography or editing skills, though it is necessary to have a fair amount of useable material. Make sure to ask questions and follow along during the editing process as much as possible to keep things in check and guarantee you are getting your money's worth!

The deliverables a photography service produces from your event can feel more important than the event itself in a sense. All of the work the photographer or videographer puts into the project comes down to the content you receive at the end. The proof is in the pudding! Well, the proof is in the proofs in photography.

Though event photography can be fast-paced and require a lot of material to be taken in an allotted amount of time, there is still the need for intentionality. Pumping and dumping the images can make for lopsided pictures, poor lighting, and undesirable expressions on attendees' faces. No photographer is perfect, and since event photography involves every aspect or category of photography (nature, landscape, still life, architectural, portraits, fashion, headshots, documentary, candid, lifestyle, food, product), even the most experienced photographer is going to create many less-than-ideal shots. However, it is necessary to at least try to avoid these issues as much as possible.

Back to the photographer with flash trouble:

"I was wondering how those final images were going to look. The event team did share the gallery," Misty continued. "Not only were those award images (the ones taken sans flash) incredibly dark, but ALL images he created were shared as they were captured. No lighting adjustments, no cropping or straightening.

"It's no secret that event photography is the most challenging (with wedding photography as the most difficult), but no one wants to wade through the bloopers."

Even if packages are available, do these packages align with your goal? Does what this company does best leave you impressed or with something to desire? Use your deductive reasoning skills to make the best decision for you or your business’s needs.
Ask clarifying questions and make sure everyone is on the same page in the same book! It can take a village to produce outstanding outputs, and you want to ensure you have hired the best people for the job to assist you and/or your company.

Things that Make a Difference

Storytelling images

  • The crop (leaving enough space to tell a story, but not so much that the viewer loses focus)
  • The content
  • The angles
  • The lighting

More focus, fewer distractions

  • A client should never see an uncomplimentary facial expression - unless on purpose.
  • A blown-out presentation screen (or one where the content should not be shared) - a logo or other graphic covering this works wonders.
  • In posed pictures, such as award winners, asking attendees to take off their nametags - big and ugly most of them.

Need a trusted photographer for your next event or just need expert guidance? Look no further!

Misty's business coaches would advise against this, as there is no ROI. However, Misty has been known to help others find the right fit for their needs. At the very least, the PBM team will give you the right questions to ask.
